1. What this document covers
This Privacy Policy applies to the website, marketing pages, and the hosted product at Northwoods Estimating & Preconstruction. It describes what information is collected when you visit the site, sign up for an account, or upload drawings and estimates, and how that information is handled.
2. What we collect
- Account data. When you sign up or sign in we store the email address you provide, a display name of your choosing, and the session credentials used to keep you signed in.
- Uploaded drawings and estimates. PDFs, plan sheets, quantities, labor buildups, and regional pricing entries you enter or upload to your account. They are tied to your account, used to run the estimate and to render any export you ask for.
- Billing data. If you pay for a subscription or a credit pack, the transaction is handled by our payment processor. We do not store full card numbers on our servers.
- Basic site analytics. Aggregated, non-identifying traffic data (page path, referrer, rough region) to understand which pages are useful.
3. Cookies and local storage
The site uses a session cookie to keep you signed in and a small set of preference cookies (theme choice, locale) so the site remembers them across visits. We do not use third-party advertising cookies on this site.
4. Third-party processors
A short list of the vendors that may receive your data while you use Northwoods. Each vendor is bound by its own privacy commitments, and we share only what they need to perform the service.
- Hosting and database. Cloud-hosted Postgres and object storage run by our infrastructure provider, used to store account data and uploaded files.
- Authentication. Better-auth handles sign-up, sign-in, and session cookies.
- Payments. Stripe processes subscription and one-time payments. Stripe receives billing details and a tokenized card reference; we do not store the full card number.
- Email. Transactional email (sign-up confirmations, receipt emails) is sent through our transactional email provider on our behalf.
- AI assistance. If you opt into an AI assist feature on an estimate, the relevant portion of the estimate is sent through our AI proxy to generate a proposed change. Nothing is sent without you triggering the assist.
5. How we use the data
- To run the service you signed up for — render the dashboard, run a takeoff, produce a PDF.
- To bill you for the seat or credit pack you purchased and to keep records of the charge.
- To respond when you email us or open a support request.
- To improve the product — aggregated, non-identifying usage patterns.
We do not sell personal data. We do not share account data with third-party advertisers.
6. Data retention and deletion
We keep your account and its estimates for as long as the account is active. If you ask us to delete the account, we delete the account record, uploaded drawings, and estimate payloads within a reasonable window. Backing-up systems may retain a copy for a short period before that copy ages out naturally.
7. Your rights
You can ask us to confirm what we hold, export the data, correct it, or delete the account. Reach out at the contact email below and we will respond.
8. Changes to this Policy
If we make a material change, we will surface a notice on the site and update the date below before the new version takes effect.
